About eFiling with Aatrix

When you install 9.7.0 Update 5 or later, you have the option to electronically file (eFile) tax forms such as T4s and T5018s. Through our partnership with Aatrix Software, a leading provider of online filing for payroll and other tax forms, you can generate, edit, and file your federal forms from within Payroll and Accounts Payable.

Once you have generated your forms in Aatrix, you can select to print and mail them to your vendors and then electronically file with the Canada Revenue Agency.

Things to Know Before You Begin eFiling with Aatrix

  • Electronic filing can take up to two days, so schedule accordingly.

  • You can complete an Aatrix enrollment form now or after you complete your processing. You will not be able to eFile until you have enrolled with Aatrix. Visit https://efileca.aatrix.com/DefaultCanada.aspx to set up an account.

  • If you are using a third party firewall you must allow access to the following ports:
    • The Tax forms and eFiling Updater uses standard SSL/HTTP port 80 to access the site http://updates.aatrix.com.

    • The eFiling component uses secure HTTPS on port 443 to access the site https://efile.aatrix.ca/DefaultCanada.aspx.


  • You can save reports in progress, then come back to work on them at any time.

  • Modifications you make to forms and information in Sage Timberline Office are reflected in Aatrix forms.

Getting Started

Set Security - Tax Forms and eFiling tasks are secured, and rights to these are granted through the Security Administration tool.

Set up T5018 Vendors - After you install 9.7.0 Update 7, open Accounts Payable: Setup > Vendors and click the new T5018 tab. For each vendor that you want to receive a T5018, select the Vendor Receives Form T5018 check box and complete additional vendor information.

Tips:

  • Give yourself time to set up the new T5018 fields for each vendor that will receive a T5018.
  • All new fields can be updated via ODBC. If you need assistance with ODBC, contact your consultant.
  • If you previously used the Vendor receives a Form 1099 check box (Setup > Vendors > 1099 tab) for printing T5018s, you can create a list of those vendors for reference. In Setup > Vendors, select [Condition]. In Field select Receives Form 1099. In Operator select Equal to. Select the Value check box and click [OK].

eFile T4s and T5018s

  1. On each workstation where you process government forms, open the appropriate eFiling task:

    • Payroll: Tasks > Federal Reporting > Federal eFile and Reporting
      Select T4s or other forms.
    • Accounts Payable: Tasks > Government eFile and Reporting > Form T5018 (CAN)


  2. If updated forms are available, you will receive a prompt to update tax forms when you open the eFile and Reporting window. To ensure you are always in compliance with the latest government-mandated changes, select [Automatic Updates].

    Notes:
    • Log in to each workstation as the workstation administrator before you update the forms.
    • If you receive a message "Unable to download new updater.", you may need to change your regional settings in order to download the latest tax forms. You need to perform this step only once.
      1. On each workstation where you process government forms, open Control Panel > Clock, Language, and Region (or Control Panel > Regional and Language Options).
      2. Select English (United States) as the format.
      3. Click [OK].
      4. When you have finished updating forms, you must reset the format to English (Canada).


  3. Follow the prompts in the software to generate, edit, and file your forms. Read the eFiling Guide for more information.

Technical Assistance

Sage Customer Portal

Depending on your Sage Service Plan, you may log on to the Sage Customer Portal at https://customers.sagenorthamerica.com/irj/portal/anonymous/login to access any of the following services:

  • Knowledgebase: Find answers to your questions, access downloads, and subscribe to your favorite articles. This service is available online 24/7.
  • Live Chat: Chat online with a customer support analyst - a great option for quick questions. Chat hours are the same as our telephone support hours (see below).
  • Online Support Request: Submit an online support ticket when you have a non-urgent question. One of our call center support analysts will assist you. Online support hours are the same as our customer support call center hours (see below).

Telephone Support: When you have a more urgent question or would prefer to speak to a customer support analyst directly, call us at 800-551-8307. Telephone support is available Monday through Friday from 6 a.m. to 5 p.m. Pacific Time with the following exceptions:

  • Every Thursday from 2 p.m. to 3 p.m. Pacific Time (closed for customer support staff meetings)
  • Standard United States holidays
  • Quarterly company meetings

Upgrading Your Service Plan
